School Management System in the UAE

Bilingual · fees in AED · cloud, no on-site server

EduX runs the operational side of a private or international school in the UAE: admissions and contracts, fee plans and instalments in dirhams, attendance, timetables, transport, canteen, payroll — and a parent app that works in both Arabic and English.

What a school in the UAE actually answers to

No other market in the region asks a school to report to as many different authorities. A group with a campus in Dubai answers to KHDA, one in Abu Dhabi to ADEK, one in Sharjah to SPEA, and one in the northern emirates to the Ministry of Education — each with its own formats, its own inspection cycle and its own idea of what a return should contain. A system that can only produce one shape of report leaves the rest to be assembled by hand every term.

Fees add a second layer. Tuition, transport, trips and uniforms are not the same thing on an invoice, and a parent statement that lumps them together is the one document families dispute. EduX itemises them per student, so what a family owes and what it was charged for are the same question.

Then language: reports for a British or IB inspection in English, statements for an Emirati parent in Arabic, staff who switch between the two mid-sentence. EduX was built Arabic-first with full English rather than the other way round, which is why RTL reports print correctly instead of collapsing.

EduX and KHDA, ADEK and SPEA

EduX does not replace the authorities’ own portals and does not claim a live connection to them. Whatever each regulator requires filed in its own system stays there. What EduX removes is the work before that: pulling attendance, enrolment, staffing and fee data into the shape each authority asks for, from one record rather than from four spreadsheets kept by four campuses. Any vendor promising a two-way sync with KHDA or ADEK is worth questioning closely.

Five questions to ask any vendor

  1. Run a full fee cycle in front of me now — enrol a student, build a plan, take a payment, show the arrears list. If data must be "prepared first", you are watching a slideshow.
  2. Print an Arabic report. This is where translated systems fail: leftover English headers, reversed numerals, broken layout.
  3. How many clicks to mark a class absent? Three versus fifteen is hours a week for teachers, and the main reason systems get abandoned.
  4. What happens if we leave? Ask for a full data export before signing, not after.
  5. What is the all-in first-year number? Subscription, setup, migration, training, support and the parent app.

FAQ

Questions from UAE schools

Does EduX produce KHDA, ADEK or SPEA reporting?

EduX holds the attendance, enrolment, staffing and fee data each authority asks about and exports it per campus, so the return is assembled from one record instead of several spreadsheets. It does not file on your behalf and does not connect to the authorities' portals.

Can one account run campuses in different emirates?

Yes. Each campus keeps its own fee plans, staff and permissions under the regulator that applies to it, while head office sees a consolidated view and students transfer between campuses with their financial history.

Does the system work in English as well as Arabic?

Yes. Interface, reports and the parent app run in Arabic (native RTL) and English — what a Dubai or Abu Dhabi school with mixed staff and parents needs every day.

How are fees and chargeable extras handled?

Instalment plans per stage in dirhams, with tuition, transport, trips and other extras itemised separately on the parent statement rather than merged into one line.

How long does implementation take?

We handle setup as soon as we receive your data, including configuration, migration of existing Excel records and remote team training.

Do we need a server at the school?

No. EduX is fully cloud-based and opens in a browser. Hosting, updates and backups are our responsibility.

Who owns the school's data?

The school does. Data can be exported at any time in a usable format and the subscription stopped without penalty.
