School Management System for Schools in Namibia

A cloud system for Namibian private schools: termly fees in Namibian dollars, hostel and day-scholar charges on the same student record, and a parent app that works for families hundreds of kilometres from the school.

What EduX runs in your school

Distance shapes Namibian schooling more than almost anything else. Many pupils board in a hostel because the family lives too far to travel daily, which means the school is billing hostel fees alongside tuition and transport, and communicating with parents who cannot simply come to the office to ask a question.

Both problems have the same root: information the school holds is not reachable by the people who need it. EduX puts hostel, tuition, transport and meal charges on one record with one balance, and gives parents an app showing attendance, marks and that balance — so a question does not require a journey.

How Namibian schools are examined

Namibia's national examinations, including the NSSC, are administered by the Directorate of National Examinations and Assessment (DNEA).

EduX records marks under whichever grading scale your school uses and prints your report cards. It does not submit entries to the DNEA and does not replace any ministry system.

We serve schools across Namibia

Setup, training and data migration are done entirely remotely, so where your school is makes no difference to the timeline or the cost.

Windhoek Walvis Bay Swakopmund Oshakati Rundu Katima Mulilo Otjiwarongo Gobabis Keetmanshoop Rehoboth Ondangwa Tsumeb

Whether the school is in Windhoek or a town far up the B1, all you need is a basic internet connection.

Six reasons EduX fits Namibia specifically

  1. Hostels are a first-class case — Hostel fees, room allocation and day-scholar charges are part of the student record, not a separate book the hostel superintendent keeps.
  2. Parents at a distance stay informed — Attendance, marks and the fee balance reach the parent in an app, so a family far from the school does not have to travel to ask.
  3. Termly billing in NAD — Fees are structured per class and per term, with instalment plans and a live arrears list.
  4. No server in the school — No server cupboard, no UPS and no resident technician — hosting, updates and backups are our responsibility.
  5. Distance makes no difference to setup — Activation and training are remote, so a school outside Windhoek is served on the same timeline and at the same cost.
  6. Light on bandwidth — The interface is deliberately light and works on a modest connection or a phone's mobile data.

How we start with your school

  1. Remote demo — A short online or WhatsApp session showing the system against your school's own situation — no visit, no commitment.
  2. We migrate your data — We take your existing Excel files or registers — pupils, fees, staff — and migrate them ourselves.
  3. Namibia setup — Grades and classes, the termly fee structure in Namibian dollars, hostel and day-scholar charges, your receipt format, and your grading scale and report card layout.
  4. Staff training — Remote training for administration, the bursar's office and teachers, with recordings to refer back to when staff change.
  5. Go live — The school runs on the system, with support over WhatsApp through the term.

Questions from Namibian schools

Do we need a server or an IT technician in the school?

No. The system is fully cloud-based and opens in a browser on any device. There is no server, no UPS and no manual backup — hosting, updates and backups are our responsibility.

Can it handle termly fees rather than one annual fee?

Yes. Fees are structured per class and per term in NAD, with instalment plans, sibling discounts and a live arrears list that updates as payments are posted.

Can we record mobile money and cash payments?

Yes. A payment is logged against the student's account with its method — cash, bank transfer or mobile money — and a numbered receipt is issued. The system records the payment; it does not act as the mobile money service itself.

Does it handle hostels and boarding pupils?

Yes. Hostel fees, room allocation and day-scholar charges sit on the same student record as tuition, transport and meals, so one balance covers everything the parent owes.

Will it work on a weak connection?

Yes. The interface is light and designed for limited bandwidth, and can be opened from a phone on mobile data.

Does it support more than one campus?

Yes. All branches run from a single account, with separate reporting per branch and a consolidated report for the directors.

How long does setup take?

Setup, training and data migration are done remotely and begin as soon as we receive your school's data — there is no site visit.

Is there a mobile app for parents?

Yes, an app for parents and pupils on iOS and Android, plus the web portal for administration and teachers.

Who owns the school's data?

The school owns its data in full and can export it at any time in a usable format.
