School Management System for Schools in Zambia

A cloud system for Zambian private and boarding schools: fees charged per term, fees in kwacha with a receipt for every payment, boarding and transport on the same student record, and a parent app. Nothing is installed in the school.

What EduX runs in your school

Zambian private schooling clusters in two very different places: Lusaka, and the Copperbelt towns of Ndola, Kitwe and Chingola where a school's roll can rise and fall with the mines. Both share an administrative pattern — a bursar's office collecting termly fees largely in cash, and a roll that changes enough between terms that last term's list is never quite right.

That churn is what breaks spreadsheet-based administration. A pupil who left still appears on the fee sheet, a new arrival is missing from the register, and the arrears total quietly stops meaning anything. EduX keeps enrolment, fees and attendance on one record, so a pupil joining or leaving updates every list at once.

How Zambian schools are examined

Zambia's national examinations are set by the Examinations Council of Zambia (ECZ), and many private schools also offer Cambridge programmes.

EduX records marks under whichever grading scale your school uses and prints your report cards. It does not submit entries to the ECZ and does not replace any ministry system.

We serve schools across Zambia

Setup, training and data migration are done entirely remotely, so where your school is makes no difference to the timeline or the cost.

Whether the school is in Lusaka, the Copperbelt or a provincial town, all you need is a basic internet connection.

Six reasons EduX fits Zambia specifically

  1. A roll that changes every term — Enrolment, fees and attendance share one record, so a pupil joining or leaving updates every list at once instead of three separately.
  2. Arrears you can actually act on — The arrears figure recalculates as payments post, rather than becoming accurate only after the term has closed.
  3. Boarding billed with everything else — Boarding, meals and transport sit on the same account as tuition, so the parent sees one balance.
  4. Nothing to maintain on the Copperbelt — No server, no UPS and no technician to send between towns — hosting, updates and backups are ours.
  5. Receipts for cash collection — Payments taken at the office post to the ledger with a numbered receipt instead of a handwritten cash book.
  6. Remote setup — Activation, migration from your current Excel files and staff training all happen remotely.

How we start with your school

  1. Remote demo — A short online or WhatsApp session showing the system against your school's own situation — no visit, no commitment.
  2. We migrate your data — We take your existing Excel files or registers — pupils, fees, staff — and migrate them ourselves.
  3. Zambia setup — Grades and streams, the termly fee structure in kwacha, boarding and day-scholar charges, your receipt format, and your grading scale and report card layout.
  4. Staff training — Remote training for administration, the bursar's office and teachers, with recordings to refer back to when staff change.
  5. Go live — The school runs on the system, with support over WhatsApp through the term.

Questions from Zambian schools

Do we need a server or an IT technician in the school?

No. The system is fully cloud-based and opens in a browser on any device. There is no server, no UPS and no manual backup — hosting, updates and backups are our responsibility.

Can it handle per-term fees rather than one annual fee?

Yes. Fees are structured per class and per term in ZMW, with instalment plans, sibling discounts and a live arrears list that updates as payments are posted.

Can we record mobile money and cash payments?

Yes. A payment is logged against the student's account with its method — cash, bank transfer or mobile money — and a numbered receipt is issued. The system records the payment; it does not act as the mobile money service itself.

Does it handle boarding schools and dormitories?

Yes. Boarding fees, dormitory allocation and day-scholar charges sit on the same student record as tuition, transport and meals, so one balance covers everything the parent owes.

Will it work on a weak connection?

Yes. The interface is light and designed for limited bandwidth, and can be opened from a phone on mobile data.

Does it support more than one campus?

Yes. All branches run from a single account, with separate reporting per branch and a consolidated report for the directors.

How long does setup take?

Setup, training and data migration are done remotely and begin as soon as we receive your school's data — there is no site visit.

Is there a mobile app for parents?

Yes, an app for parents and pupils on iOS and Android, plus the web portal for administration and teachers.

Who owns the school's data?

The school owns its data in full and can export it at any time in a usable format.
